Can I organize notes into a 1,2,3,4 system?

With my daily usage in Evernote, I need notes to be in order of the header or subject name I get it and not organized by the last edit showing up first.

For example, I may have a notebook with 500 notes.  Each note is organized by a number.  Not this way but simply put, 1, 2, 3, 4, 5, 6, and so on.  So when I open up a notebook it will display in order regardless of when I made an edit.

 

Is there a way to do this?  I really hope so.  I know in notebooks it can be organized that way but how bout notes?

WRT prefacing the note titles with numbers...

 

 

I use numbers as tags to order notes - 1, 2, 3, etc.
And, although I haven't yet tried, decimals might help to insert new notes rather than re-tagging everything!


The following is discussing notebook names but applies to titles, tags, stacks, etc.


 

Anticipating the number of documents amassed in some projects can be tricky and I'd rather not have to create unnecessary placeholders in anticipation (for example, 00001) (that's a lot of keyboarding just to be safe).

 

If you think you will have less than 100 notebooks, use numbers 001 through 999 followed by the title.

You can have 250 notebooks. And if you used numbers incremented by 1, that would be 001-250. Using 001 - 999 would be 999 notebooks.A better alternative, if you were to use this method, would be to use say, 00100, 00200, 00300, 00400, etc. as the prefix. That way, you can add notebooks in between 00100 & 00200 by using 00120 or 00150 without having to renumber all the subsequent notebooks.

 

I use this method often, for one particular hobbyist project I have., where I want to force the files to sort in the order I want them.

Maybe I will give example of my company and how it's used.

 

I have a real estate company.  We usually close around 1,000 sales a year.  On top of that maybe 500 or so listings.

we use a file system to keep things sorted and easy to find for when we receive an audit.  For that reason, I need to keep the file numbers sorted in order.

Our normal transaction system for the year 2014 will begin like this:  514-0001 all the way to 515-1000 or more.  For 2015 it will become 515-0001 and up.  For listings it's the same but it begins with the #3.  314-0001 and up.

 

2 ways I can do this is:

 

1.  Create 1 notebook titled 2014 Sales.  within sales, every sale becomes a note.  The note is titled 514-0001 on up to the thousand range.  This could easily work if I could open the notebook and have all the notes organized in order not  by date but by number, 514-0001, 514-0002, on up.

or...

2.  Create 1000 or so notebooks with business account.  Problem is the amount of notebooks staking up.  But it is easy to find because the numbering system I mentioned easily is sorted in order with the numbering system.

Then the problem lies after 5 years and 7,000 - 10,000 notebooks later.  I think I have a solution for that but the response is a little lengthy.

 

Bottom line, I'm just looking for efficiency and organized for Auditors.

Tags are the best solution here, in my opinion, not 1,000 notebooks.

I agree that Tags are the best solution except when I search by tags with 515-  it still doesn't put them in order by 515-0001, 515-0002, 515-0003.  I could do a search for the specific file number and it would come up but I need to be able to scroll in order too.

Are you wishing to create more than one note for each number? e.g. Might you have two notes relating to 514-0029?

 

If there is just one, create either a single notebook (e.g. "Closed Sales") and create a note for each sale. You may prefer to create a notebook for each year (514, 515, etc) and stack them, then put notes in the relevant notebook. You can sort notes by title -  in reverse order if you like, since the most recent notes would have the highest number and therefore come first on the list.

 

If you might have more than one, you can still do the same as above, but just adapt your title so that its unique, e.g. 514-0029 Contract, 514-0029 Survey, 514-0029 Mortgage Application, etc.

I like your Option #1 the best, for these reasons:

  1. I think you would find more than about 100 NBs to be hard to manage.  The EN views/displays for NBs is NOT conducive to large numbers of NBs.
  2. While you can filter by one NB, you can not exclude NBs from a search
  3. I'm not sure if the prefix of "514" is meaninful to you but if you had other Notes with a different prefix, you could easily filter for a specific prefix using "intitle:514-*"  This would return all notes that have a word in the title that starts with "514-"
  4. Of course, by starting the Note title with your numeric code ("514-0000"), you can sort by Note Title to achieve the display order you want.
  5. By putting all Notes for a year into one NB (like "2014-Sales"), you can easily share the NB with your auditors if so desired.

Thanks so much everyone for your help.  Yes I can include all contracts in 1 note.  So yes I can have a Sales 515 folder and each note is a new file.  I don't know how I missed it but the sorting by Oldest to Newest or Newest to Oldest will do the trick since we follow a numbered order when we start a new file.  Since we don't jump around in numbers, this should easily follow my filing system.

Not certain if this question has been answered but here goes... The way I organize the notes in the order that I want is by setting the sort option to sort by title, then if you simply put a 1, 2, 3, etc in the title it will sort it accordingly. Let me know if this helps.

I've read through everything here... and somehow get the feeling that @Call Realty had not yet discovered how to sort the note list by Title. He/ she basically wanted to sort everything in chronological order (By Title). That would have done the trick. I'm convinced of this, haha... but could it be? Every post of his/ hers points toward that:

I don't know how I missed it but the sorting by Oldest to Newest or Newest to Oldest will do the trick since we follow a numbered order when we start a new file.  Since we don't jump around in numbers, this should easily follow my filing system.

 

Looks like @Call Realty is/ was stuck with sorting by date updated. Sorting by oldest to newest/ vice versa (reverse sort order) would only do the trick if one never edited or updated notes. Once you start to edit them randomly as the need arises, one will not be able to scroll chronologically by Title. BUT... I'm wondering how one would miss the Sort by Title option. That's got me stumped  :huh:

Actually, unless something has recently changed, numbers from 1 to 9 will not get sorted properly unless you put a 0 in front of them to make 01, 02, etc. See my post at the beginning of the thread for my suggestion.

I thought that was for double digits and up... because 1-9 (single digits) sorts fine for me... but the point I was getting at is that regardless of the numbering convention, @Call Realty was simply not sorting by Title. Everything pointed toward that. No matter how fine tuned the system, if one does not sort by Title... one will never get a chronological note title order - not after random notes have been edited and you're sorting by date updated, whether oldest to newest or newest to oldest.

yeah. i figured the op would be going over single digits :)

 

as for the sort, i incorrectly told the op to sort by "name" instead of title. indeed, the sorts are hidden behind mystery-meat navigation (it's not just evernote, but apple and other folks who think we are in a post word world), and it can be difficult to discover the option.

 

it's also worth noting that sort options may be missing on some clients, so if you build your system around the sorts, make sure you can accomplish it on all of the platforms you use. for example, ios lacks a reverse sort order option, so that can be quite a problem, especially with tens of thousands of notes. windows has about twice as many sorts (i think) as mac. just stuff to watch out for.

Excellent point GM. One can't build their system around sorting their note list by tag, when half the time you depend on mobile device - especially iOS, since one cannot even view nested tag hierarchies as a workaround either.

Although I haven't yet tinkered with a platform that doesn't at least have sort by Title.

It's the lack of a reverse sort that kills the system. I've got tens of thousands of notes going back several years. They are easy to navigate on the desktop, because any search can immediately have the various sort options arranged regular or reversed. On mobile, the system is not especially fun, and tapping through it all gets old fast.

At one point, Evernote maintained they were striving for feature parity across all platforms. One more reason those of us who have used Evernote for many years and had confidence in the company were willing to put up with these types of inconsistencies. AFAIK, they never achieved this elusive feature parity and with the various rewrites & updates of the clients, it would seem it's not a priority.

... and someone was asking this morning about Evernote's timeline for rolling out new features on Windows Phone. Now that's a tough one. That and Windows 8 Touch.

GM, maybe you could set up some saved searches for a range of date parameters at 6-month intervals... and pop those into your shortcuts list. You'd have 12 at most.

I know GM has other issues with Evernote (like encryption & scalability). But I know for me (and I think GM), I don't mind using some workarounds. But I got tired of having to use workarounds only to find that new client "upgrades" or feature regression (especially when not forewarned like the fairly recent yank of notebook sharing, which they eventually reinstated) made the workarounds no longer viable. I know for me, that type of thing was the straw that broke the camel's back & caused me to migrate away from Evernote.
