How to make form in Evernote - phone call taking notes

Hi everybody,

 

I am salesman sitting by the phone about 10 hours every day. Except e-mail, phone calls are second or maybe first most important activity I do for living. Simply people or companies call and either ask something, get some info or order over the phone. Making some notes represents direct support to actual sales activities. 

 

I have notebook at my desk, simple school stuff with vertical red line on the left. Every day I make note of date and when somebody calls in or I call out I note time of call and on the right side of red line I try to capture some useful info, like phone number, names, organization, topic, e-mail and technical details or requirements. Nothing fancy but useful.

 

So here we come to my question. Obviously, there is no much automation is possible here, I can use headset that will free my hands for note taking / typing and that is about it. So to make life easier I decided that Evernote is way to go. I created notebook called Phone Calls and I create record every time somebody calls.

 

It would very much help if I could create an Evernote form or template so every note has uniform look. It should have quick check off fields and data expected. I found some advices how to make templates in Evernote but I never succeeded making one. 

 

Any suggestions there?

I am looking. It looks like yet another note taking program. I would like to stick to Evernote. Works for me across different devices.

 

P.S. just read some articles and watched tutorial. Yes, it is more flexible than Evernote to create custom templates, however it is completely WEB based and I don't like that. Somebody else is in possession and control of my notes. I am in this for very long run and don't like purely WEB solution.

kustomnote is just a web based app that feeds your EN database.

If you'd like, you can create your own template, put it into your account, tag it "template" or put it into a "template" notebook, make a hundred copies of it, and every time you have a phone call, just change the tag / notebook of the note and you are done.

GrumpyMonkey thank you for suggestions. In your templates I didn't find what I was looking for. I checked shared notebook and closest one was Leave the Message thing. There is even contest for best template.

 

However there is no crucial instructions, how to create template in the first place? I could make it myself but don't know how? It will not be graphical marvel but it will be very functional. Somebody else could improve it. So we go back to basics, how to create template and how that set it in Evernote so it becomes part of it, or at least instantly available when needed?

I think you'll have to become familiar with KustomNote or .enml/.xhtml if you want to get into the nitty gritty of creating things.

As for customizing them and having them available at any time, they ought to work fine. My templates are completely editable. Just change the titles and content to your heart's content. The same thing goes for all of the other templates in Daniel's shared notebook. Right click on a template to copy it. Select several of these copies at a time and you can copy ten, twenty, or thirty of them. I think it should only take a few seconds to go from viewing the template in our shared notebooks to having a few hundred of your own on hand ready to go, instantly available when needed.

You can download templates from Kustomnote and then duplicate them in your account. Once you've found the template you like you need never go to the website again.

There are two different ways I would address this.

 

1.) At the end of the day, I would rip out the day's handwritten phone logs and scan them into Evernote. I would make sure each phone call is on an individual page so that I would have separate notes for every call. The title of each note would contain critical information about the call - date, person, and key discussion point (for accurate searching)

Or a more complicated, but much more powerful method

2.) Create an empty phone template in Evernote. How?

Just type it into an empty note.  Or copy an existing one.

Drag the template note to the Favorite Bar for an instant-access icon.

Get a call? click template instant-access icon, copy it (right click), then add conversation details to the copied note. If the office is filled with steady inbound calls, I might create a half-dozen of these empty templates in advance.

So I created layout I like and want to save it somehow. Here is what I have:

Did you follow my instructions? Here is an alternative method. Copy 100 of these (select a bunch and copy 10 or 20 at a time). Call them "template." You can put a saved search for "intitle:template" into your shortcuts. Every time you tap the shortcut, it will bring up your templates. Start writing in one, and change the notebook / tag / title (depending on how you have your account set up) when you are done. It isn't a "template feature" to be sure, but it isn't much work (in my experience).

I actually give up. I can't do simplest things suggested here, like drag note to the shortcuts. I can't lose hours of my time fighting with what can't be done.

Search for better note taking program is back on ....

Zack, I'm sorry to hear it.

 

In your last answer, it seems like you can't see the wood for the trees anymore because of being overwhelmed by technical stuff. I think that's because the answers also suggested (but didn't describe step per step) particular solution approaches. This can be a bit overwhelming, particularly for an Evernote user who doesn't use its advanced features (like saved searches) regularly.

 

But the suggestion as such is pretty simple. Basically, it is the following:

 

"Evernote doesn't support templates. But you can prepare some notes with the structure you need. When a call comes in, you simply edit (fill in) one of these notes."

 

The rest (titling/copying/shortcuts) is just the technical details/fleshing out, and they are pretty much optional.

 

I think the simplest solution (without advanced stuff like shortcuts or such) would be the following:

 

1) Create an Evernote notebook titled "Call Templates" (or so)

2) In this notebook, create a note, e.g. titled "CallTemplate".

3) In the note, paste the form you posted earlier ("[] Inbound call ... NAME ... ")

4) Select the note in the note list and duplicate it (depending on your computer Ctrl-C followed by Ctrl-V, for Mac probably Apple-C followed by Apple-V)

5) Press Ctrl-V again a couple dozen times to make a lot of copies of the note (so you never run out).

 

So from now on, when you have a call, you open the first note in the "Call Templates" notebook and start filling it in as the call takes place.

 

When you're done, give the note a meaningful name and move it to its "proper" notebook where you want to keep it for further reference.

 

When you start running out of "template" notes in the "Call Templates" notebook, make some more copies (Ctrl-C, Ctrl-V).

 

I hope this helps clearing things up a bit.

Everything beneath this line is optional and purely for the purpose of giving you some options to streamline your process a bit. You need not even read this! :-)

 

You can chose to keep the "templates" in your "proper" notebook with the other call logs. Then, you can use so-called "saved searches" (or "search query shortcuts") to get to the templates quickly. For example, if all your templates have "CallTemplate" in the title, you can search for "intitle:CallTemplate" and save this search query to your shortcut bar. As an additional bonus, when you fill in your templates and change the title, your filled logs won't clutter up this list (because they don't have "CallTemplate" in the title anymore).

 

Other ways to quickly find or filter the templates are tags (but there you would have to explicitly remove a tag -- which means work [ok, just 2 seconds, but hey, it counts]).

Hi I did everything you listed. Making copies just by doing Command-V didn't work, had to create note by note and always paste form structure into the note but it worked as a concept.

I used it several times. It is kind of clumsy. Have to rename every note and manually transfer it into the right Notebook, but it is better than before.

It seems a little ironic that EverNote 1/2/3 for Windows, pre 2008 had the notion of Templates and Forms for such things as phone records.

 

I can still be had on the iphone/ipad side with apps like EverLog.

Create a form template with checkboxes and all manner of fields.  And just tap the template, have it collect data, give it consistent structure, and auto-title notes and tags in Evernote.

Zack, instead of ctrl-v, would it work for you to try right-clicking on the template note and selecting from the pop-up menu "Copy Note" and choosing either the current, or another notebook (I keep my templates in a Notebook titled Templates, and copy then into a Working/Inbox notebook).

 

You'll have then duplicated the existing template note.

Tried right click, COPY didn't do anything useful. I saw your phone records template. Actual template is not problem but saving it and handling it later.

Hi there, thanks for video. It's amazing you did that. What I see on Mac is completely different. I have screenshot that I don't know how to post here? When I click small picture icon it asks for URL (?). 

Anyway, I am following advices and will try to use it as storage of same templates in auxiliary phone book and then transfer into Phonecalls Notebook.

Sure.  I'll post the same when I get back home to my mac's.

 

As for your screenshot question, that can be a little hacky.

Since most of my screenshots are captured into Evernote, I click in the note to share it.  The share menu lets you copy the link to the clipboard.

Then I open that in a web browser.

Then I right click the image to copy the image URL to the clipboard.

 

Now when you post here, you can use that URL to insert the image into your post.

And you have a snootful of copies it looks like.

If you give it something descriptive in the title like "Call log" it can stand out from the other templates you might accumulate.

 

Now that I'm back on my Mac and refreshed my memory, the look and feel is certainly a bit different, but the process of the video I posted is the same.

 

Right click, or go to the Note menu and choose "Copy to Notebook" then click on the Notebook.

To either copy a template note to a working Notebook, or duplicate the item within the same Notebook.

 

And the Merge process looks exactly the same.

Hold the Command button down and click on all the notes you want to merge (this is a multi-select), then click merge.

Zack,

 

As much as I love Evernote, if I were in that line of business, I'd look at a dedicated tool.  You could try any number of CRM tools - I like Insightly as it does project management too.  Or you could even use a helpdesk software like Desk.com or better yet - Zendesk.  Zendesk allows you to record all incoming calls.  Not sure about outbound though.  

 

Each of these services can be connected to evernote if you want, but not sure you'd want to.  I know you posted on an evernote forum, but if you're making money on sales, you'd probably be more organized and save time in the long run with a more dedicated tool.

Even as an Evernote user, I still found the need to have an app that attaches  notes to my contacts and the conversation. I am in sales also. I use TalkNotes Plus. It is super convenient for me to take notes while I am talking to my customer. There cloud backup, so all conversation history is archived.

(I'm brand new to this board, so I apologize if I fail to follow any particular protocols in this post!!)

 

I see that folks have given lots of great suggestions on how to make Evernote work for your needs, and suggestions on other programs to use.  I just wanted to mention that I've set up phone logs for myself and my staff in Microsoft Access.  It's not terribly portable by nature, but if you have a networked drive that you can access from various places, you can get to the log from just about anywhere.  (For example, I can access it from my home laptop easily, and I'm told I can get to it through my tablet though I haven't tried yet.)  

 

I like Access because I can easily search and view prior records.  I set up a form to record details and notes on each phone call (including some check boxes, as you noted), and that data feeds into a table.  I have various queries set up to pull out whatever info I need--all calls to/from a particular name or phone number, all calls on a particular date, etc.  The best part is that I can easily store records as far back as I need them (9 years, in my particular case) without ever having to look at those records unless I do happen to need them.  

 

It wasn't very hard to set up, and it's extremely useful!

Don't give up yet! I also work in sales and use Evernote for everything pretty much. I'm a Mac user and use a tool called TextExpander (on Windows there is PhraseExpander). This allows you to type a pre-defined series of keystrokes (e.g. "phc" for phone call) followed by a space and it will expand that to whatever text you want. So for instance...

 

Name : _

Position:  

Company :

Phone :

email :

Date : 

Notes :

Next action...

- Who? :

- What? :

- When? :

 

You can also tell it where to put the cursor when it produces the text so you can put it in the top field (here next to Name:) 

 

This is a really fast and easy way to generate templates in Evernote, or any other tool for that matter. I also use it in prospecting emails where there are chunks of text that I often use, but I want to customise the email and don't just want a "boilerplate" email. I also use it for email sigs because I work on contract for a number of clients, so have different email sigs depending on which client I'm representing that day!

I am using system somebody suggested in beginning, form copied many times and used when needed, saved into Phone Call Notes book. It is not really elegant solutions but it works!

Which "system" are you using please?

Hello all, 

 

This conversation thread illustrates a gap in Evernote. What I have been looking for is a simple and fast way, using keyboard shortcuts, to insert a predefined templated note into whatever notebook I am currently in. This would be my understanding of a "template" functioning well.

 

For example, I want to click on my Projects notebook, then hit Ctrl "P" and have a note created that has the text I have defined. I then want to tab through it to enter text as needed until I get to the bottom.

 

Currently the best I can do is using AutoHotKey, and inserting into the default notebook. It isn't bad, but I keep wishing it was smoother.

Yup.

 

On my wiki at work, I can create a simple form with:

When I hit save, it becomes an HTML form with web controls.

The first line defines the type of objects.  Feilds can be text, label, date picker, radio checkboxes, multi-select options, note fields, etc.

Each form has an edit button which lets you add now rows, re-order rows, etc.

 

A really simple way to collect structure in a note without having to use anything but simple text in the note.

 

Then you can get fancy with the output of the form.  Instead of just formatting data on that note, you can use a note as a template and have it output collected data to a new note with a formatted title somewhere else, or create structured rows of data, database like elsewhere, etc.

 

Evernote could be so much more with optional but simple structure.

 

It be nice to at least start with simple controls to hide/expand sections

 

Link our ability to put a link to another note, give the ability to have a link so a saved search in a note.

Then make it pretty with buttons on top of links.

 

It only takes some simple plumping with a structured form, and structured query, and you've got the ability to take a collection of Evernote notes and turn it into a database application.

I use an echo pen to record my meetings. Then I sync that to my Mac. Then I transcribe it and send it to Evernote. The note title is the name of my client and these notes from the Client Meetings notebook get picked up by zapier and placed in my highrise online. So all my emails and notes and meeting recordings can be in one place. 

 

I know, this sounds a bit cumbersome but it's worth the initial pain to set things up. You can also use ifttt.

I just found this thread conversation.  I have created forms in Word, copy/pasted into a Note in Evernote and they work great.

Here is a copy of a "Contact" form.

 

Here is another form I created for taking notes to later compile a report.

 

I have several other forms I have created as well that I use for my business (now retired).

This is how I do mine (I'm an entertainer so that's our basic business)

 

Basically my contacts are broken down into two categories (which are tagged as such)  I have Clients (tag) and I have Prospects (tag)

 

 

My Contact Template looks like this (Templates are found with the tag "Template") I don't use Notebooks at all except for a selecting what notes I want downloaded to my cell phones  - Clients are perminantely on my cell phone so they are in a Notebook called Clients (only for download to phone not to find)

 

 

The Template is devided into 3 main sections

  3. contact log of email/phone

So all the related notes to this clinet will have a link back to this Contact Note and or the Booking or Job note -- some of the notes I might have might be

 

Client - River City Community Fest    [this is the main note or parent note if you want to think in terms of folders which I do not use -- horrible idea use tags instead]

 

 
 
Trip - River City Fest - Sun 9-25-11   [Note with hotel reservations, airline tickets etc etc this is tagged Trip, Sep, 2011  this will have a link inside the body of the note, at the top back to a "Trip Table of Contrents"  for 2011 and a link to  Booking - River City Fest - Sun 9-25-11 - 2:00 pm - $1,200.00  This is why I prefer tags to Notebooks - This note is a child note to BOTH  the Trip Index Note and the Booking Job Sheet Note
 
Basically once I find at least one of the notes from Client - River City Community Fest I can move with links back and forth from  parent note to other child notes by links alone, I don't have to search for them
