Workflow Question - Tags or Notebooks

I process dental claims and have started using evernote since I can sync and access claims if I'm on the road or at the office. My question is a workflow question. I initailly set up notebooks for each employee that we process claims for. I scan the claim form and the clam check into a folder on my desktop and then en imports into a notebook in en and then I just drag the completed claim note into the notebook for the specific employee. This has resulted in over 200 notebooks, quickly reaching the 250 limit. I'm wondering if I create one big notebook and then tag each claim with the employees last name and date of claim if that would be better? My bottom line is I'm looking for the best and quickest way to search for claims if needed. My original thought was I could just quickly open the notebook of the named employee and find their claims, but as I said, I'm quickly reaching the 250 limit. Any suggestions on how to improve this would be appreciated thanks so much.

Tags + created date could probably be made to work just fine; you'll probably need more than a last name to guarantee employee tag uniqueness.

"monkey grumpy claim 333390021" (employee last, employee first, document type, identification number) in the title would enable you to sort alphabetically and easily search "intitle:monkey" for employees. the created date would enable you to sort by employee and date of claim. you could put tags like "processed" or "outstanding" onto each note, and this would enable you to sort by claim status.

alternatively, you could use the tags as jefito suggested and just put "monkeygrumpy" as a tag. personally, instead of creating 200 tags, i'd prefer to just put names in the titles so that i only have a few tags needed, but that is a matter of preference, of course :)

Evernote is a great tool that helps you remember pretty much everything in your life, or at least as much as you put into it.
As a personal information manager, it works great, and I have been using it daily for over 2 years.
But keep in mind that it is primarily a personal tool, not a business tool.

However, like all tools, it does have its limitations:
  • The most important limitation relevant to your use is security.
  • Since you are storing personal ID and health care info of other people in Evernote, Evernote may not be able to provide the necessary privacy and security required by you, your company, and/or federal/state law.
  • Evernote's service is primarily a consumer cloud memory service.
  • As a consumer Internet service, they don't have enterprise certifications such as FISMA, HIPAA, etc.
  • Evernote does not provide the necessary security that many people need for sensitive data like personal ID data (Social Security#, Drivers License, etc) health care, legal, financial, etc unless you take precautions to encrypt the data you put into Evernote
  • Evernote does NOT automatically encrypt any data in your account
  • Evernote does offer modest encryption of selected text within a Note using 64-bit RC2 encryption

  • While Evernote has some Note and Notebook sharing features, it falls far short of full-featured collaboration tools.
  • EN doesn't provide the tools and features to allow your employees to submit or track their claims
[/list]While I love and use Evernote, it probably is not the best tool for claims processing.
I would expect that there are many other apps, including web-based apps, available for this purpose.
